Contact Form:
If you email us direct or via our contact form, your name and email address will be used to contact you in regard to your query. We will not use your details for marketing.

This Privacy Notice explains how we at Palace Farm Hostel & Campsite use any personal information we collect about you.

What is the information we ask for?

When you make a booking with us we collect your name and the name of anyone else you are booking a room for, your home address, email address and your telephone number. We also collect a debit or credit card number to take the deposit required or give you our bank details for a transfer.

How do we use the information we hold on you?

We use your home address as part of the card payment processing to validate the card.

We will use your email address to send you confirmation of the booking and an email with more details you may find useful for your stay.

After your stay ( if you booked online ) you will receive an automatic email from our third party booking system asking you to give a review, this is not sent by us.  We may send you an email checking everything was okay with your stay and offering you ways to stay in contact with us by social media or email if you choose to do so. One year after your stay your emails will be deleted.

We will not use your telephone number to contact you unless it is for an emergency and/or we have been unable to contact you by email.

How is your data stored?

The personal and debit/credit card data you verbally give to us, as part of the booking process, is stored on paper until after your stay and is then burnt on our log burner. As is the law for PCI compliance the 3 digit security code which is on the back of your credit / debit card is deleted as soon as the payment is taken.  If you booked on line, the payment is taken securely on a third party system, Eviivo for the hostel or Bedful for the campsite.

Guest Registration:

We are required by law ( Immigrations (Hotel records) Order 1972 ) to collect the following information on all our guests over the age of 16. We do this by asking you to complete a registration form on arrival.

For UK residents & commonwealth guests: Name  and nationality

For non commonwealth guests: Name, nationality, passport number, address of next destination

In addition we ask for your address, phone number and car registration number. This is so we can contact you if you leave any personal possessions behind or forget to leave your room keys on your final departure.  The car registration number is for security purposes so we  know if a vehicle should be at Palace Farm and who it belongs to should there be a problem.

We keep these forms safely in a locked office. We are required by law to keep these registration forms for a year. We will destroy these forms 12 months after your stay, they are then burnt in our log burner.

Access to your information:

You have the right to request a copy of the information we hold about you. If you would like a copy of this information please email us at info@palacefarm.com

WiFi Surveillance Cameras:

We plan to have 3 WiFi cameras  installed at Palace Farm. None of the cameras  will be pointed at the guest bedrooms , door or windows, tents or washrooms.

We use these cameras for the security of our property, ourselves, our animals, our guests and our guests  property.

The data is planned to be recorded securely online and only kept for 2 weeks.

The only people to have access to this data are the owners of Palace Farm, Graham and Liz Cuthbert. The data can only be accessed on our computer / smart phone, both of which will be  password protected.

Data breaches: Should your personal data collected by us be lost, stolen or otherwise breached, where this constitutes a high risk to your rights and freedoms, we will contact you without delay.

We will not share your information with any third party unless there is a legal reason for doing so.
